Free Email Signature Generator

Step by step

  1. Upload your logo (PNG, JPEG, WebP or SVG). A transparent background looks best. It is processed on your device and embedded into the signature.
  2. Fill in the fields: name, job title and work email are required. Phone, LinkedIn, company and website are optional.
  3. Check the live preview on the right — that is exactly how the signature will look in an email.
  4. Click “Copy signature” — it selects and copies the formatted block with your logo automatically.
  5. Open your email settings (Gmail or Outlook — tabs above) and paste (Ctrl/Cmd+V) into the signature field.
If the button does not work (some browser security settings block it), click inside the signature frame, press Ctrl/Cmd+A, then Ctrl/Cmd+C. The result is identical.

Gmail

  1. Open Gmail → ⚙️ Settings (top right) → “See all settings”.
  2. On the “General” tab, scroll to the “Signature” section.
  3. Click “Create new” and give the signature a name.
  4. Click inside the empty signature box and paste the copied block (Ctrl/Cmd+V).
  5. Below, set it as the default for “FOR NEW EMAILS” and “ON REPLY/FORWARD”.
  6. Scroll down and click “Save changes”.

Outlook (web)

  1. Open Outlook in a browser → ⚙️ Settings → “Mail” → “Compose and reply”.
  2. Click inside the signature editor and paste the copied block (Ctrl/Cmd+V).
  3. Enable “Automatically include my signature on new messages” and on replies/forwards.
  4. Click “Save”.

Outlook (desktop app)

  1. File → “Options” → “Mail” → “Signatures…” button.
  2. Click “New”, name the signature.
  3. Paste the copied block into the editor (Ctrl/Cmd+V) — formatting and logo come across automatically.
  4. Assign it as the default for new messages and replies/forwards.
  5. Click “OK” to save.

Privacy

This tool does not collect or store your personal data or your uploaded logo. Everything — reading your image, resizing it, and embedding it into the signature — happens locally in your browser. Nothing you type or upload is sent to any server. For your convenience, the details you enter are saved locally in your browser (localStorage) so they are still there if you reload or come back later; this data stays on your device and you can clear it anytime via your browser.

The only data we use is anonymous, aggregated visit statistics via Google Analytics (for example, page views and country) to understand whether people find the tool useful. This uses cookies. No personal profiles are built and your signature content is never transmitted.

Terms of Use

The service is provided free of charge, “as is”, without warranties of any kind. You are responsible for the content you put into your signature. We are not liable for how the generated signature renders in a specific email client. You may use generated signatures for personal and commercial purposes.

Why the logo is embedded (and never breaks)

Most signature tools link to a logo hosted somewhere online. If that file is moved, renamed or its sharing permissions change, the logo silently disappears from every email you have ever sent. This generator instead embeds the logo directly into the signature as a base64 data URI — the image travels inside the code as text. It does not depend on any external link, so it keeps working forever, even offline.

Your data stays on your device

Everything runs in your browser. Your logo is read, resized and converted locally; your name, email and other details never leave your computer. We do not upload, store or share anything you enter. This makes the tool safe to use for work signatures without worrying about where your information goes.

Works with Gmail, Outlook and more

The signature is built with email-safe HTML and inline styles, so it renders reliably in Gmail, Outlook (web and desktop), Apple Mail and most other clients. SVG logos are automatically rasterized to a transparent PNG, because many email clients do not display inline SVG. For IT teams rolling out signatures across a whole company, the “Copy HTML code” button provides the raw markup for centralized deployment.
